Towels by number of guests
Sheet sets by number of beds
Sheets by bed size
- How many pillows should a vacation rental bed have?A common setup is 1 pillow per Twin, 2 per Full or Queen and 4 per King, so every sleeper has at least one. Buy pillows once, with one protector each. Pillowcases cycle with your sheet sets: a standard Queen or King set includes 2 cases and a Twin set 1, so any extra pillows need extra cases.
- How many sheet sets do you need per bed in a rental?Plan 3 sheet sets per bed if you wash on-site: one on the bed, one in the laundry and one spare. If laundry is off-site or handled by a linen service, plan 4, because two sets are usually away at once. Adjust up for back-to-back turnovers or slow laundry, and buy sets by bed size.
- How often should you replace sheets and towels in a rental?Replace rental sheets and towels when they fail an inspection, not on a fixed schedule. Pull any item with stains that do not wash out, thin spots, fraying edges, pilling, lingering odor or lost softness. Keep one spare set per bed and one spare towel cycle, so a worn item can leave rotation right away, and log each replacement.
- What does a vacation rental bathroom need?A vacation rental bathroom needs towels for every guest, a bath mat, hand towels, toilet paper, hand soap, shampoo, conditioner and body wash. Add a plunger, toilet brush, small trash can, hair dryer and a spare roll of toilet paper. Plan towel counts by guests and bathrooms, with extra sets in the laundry and on the shelf.
- What are the best sheets for an Airbnb?7 white sheet sets checked on retailer pages, compared on pocket depth, bleach care, spare pillowcases and the cost of 3 sets per bed.
Setting up and cleaning
- Can Airbnb hosts use cameras or noise monitors?Outside, yes. Inside, only a noise monitor. Airbnb bans cameras and recording devices anywhere inside a home, even when switched off. Exterior cameras, including doorbell cameras, are allowed if you disclose them and they don't cover private spaces like an outdoor shower. Noise monitors that don't record audio can go indoors, outside bedrooms, bathrooms and sleeping areas, once disclosed.
- Smart lock or lockbox for a short-term rental?A smart lock is usually the better fit for a short-term rental with frequent turnovers, because each stay can get its own code that stops working after checkout. A lockbox costs less and needs no power or Wi-Fi, but every guest shares the same code until you change it by hand. Many hosts keep a lockbox as backup entry.
- What amenities should an Airbnb have?Start with what Airbnb calls essential amenities: toilet paper, soap for hands and body, one towel per guest, one pillow per guest and linens for each guest bed. Then stock each room for your guest count, add Wi-Fi, heating and safety devices if you have them, and select only the amenities you actually provide.
- What can I ask Airbnb guests to do at checkout? For reservations booked on or after November 20, 2026, you can still make light, quick checkout requests such as locking up and turning off lights. Airbnb's policy says hosts generally can't ask for cleaner's work like stripping beds, washing and putting away dishes or taking trash offsite. Move those tasks to your cleaner and price them in.
- What safety equipment does a short-term rental need?A short-term rental should have working smoke alarms and carbon monoxide alarms placed as your local code requires, a fire extinguisher in or near the kitchen, a stocked first-aid kit, and posted exit routes and emergency information. Rules differ by state and city, so check your local code, then list the devices accurately on each platform.
- What should a vacation rental kitchen have?A vacation rental kitchen should let guests cook a simple meal and clean up after it. Plan place settings, mugs and glasses for your maximum guests plus 2 spares. Add basic cookware, a sharp knife, coffee gear, food storage, dish soap and a sponge, and a few starter items such as salt, pepper and oil.
- What should an Airbnb cleaning checklist include? An Airbnb cleaning checklist should run room by room in the order your cleaner works: first checks for damage and left items, then bedrooms, bathrooms, kitchen and living areas, then a final walk-through before locking up. Add photo documentation for damage and a restock list, so every turnover ends the same way.
- What should I put in an Airbnb welcome basket?A good Airbnb welcome basket is small and practical. Leave a short handwritten note, coffee and tea for the first morning, bottled water and one or two sealed, store-bought snacks. Keep food in its original labeled packaging so guests can check ingredients, and count the basket as a per-stay cost, like your other restock.
- How much toilet paper and supplies should I leave guests?Per stay for 4 guests over 3 nights: 7 rolls of toilet paper, 4 trash bags, 12 coffee pods. Par levels, reorder point, cost per stay.
Guests and messages
- How do I reply to an early check-in request?Reply to an early check-in request by checking two things first: whether a guest checks out that same day, and when your cleaner can finish. If the unit is ready, say yes with a firm time. If not, offer a luggage drop-off or the earliest realistic time, or decline politely. Never promise what the turnover can't deliver.
- What are good examples of Airbnb house rules?Good Airbnb house rules are short, specific and reasonable, covering guest limits, quiet hours, smoking, pets, parties, parking and trash. Put every rule in your listing's house rules section before guests book. For reservations booked on or after November 20, 2026, Airbnb's policy says hosts can't add rules after booking, impose fines or assign a cleaner's work.
- What should an Airbnb check-in message say?An Airbnb check-in message should give the address, check-in time, parking, step-by-step entry instructions, the door code, Wi-Fi details, where to find the house manual and how to reach you if something goes wrong. Many hosts send it 24 to 48 hours before arrival, through the platform's messaging, with a fresh code for each stay.
- What should an Airbnb house manual include? An Airbnb house manual should cover arrival and entry, Wi-Fi, parking, house rules, quiet hours, trash and recycling, how to use the appliances, checkout tasks, emergency contacts and safety equipment locations, and a few local tips. Write each section in two to four plain lines, so guests find answers without messaging you.
Software
- Can PriceLabs work with Hospitable Essentials? No. Hospitable's Essentials plan overview says the free plan does not include connecting third-party dynamic pricing tools such as PriceLabs and lists third-party integrations as a paid-plan feature. To keep PriceLabs, move to a paid Hospitable plan or another PMS that supports it, or stay on Essentials and use Hospitable's own pricing instead.
- Do I need property management software for one Airbnb?Usually not. If you host one property on Airbnb only, Airbnb's own calendar, scheduled messages and smart lock options cover most needs at no extra cost. Property management software starts to earn its fee when you list on two or more platforms, want one shared inbox, or need prices and availability to stay in sync quickly.
- Hospitable vs OwnerRez: which is better for a small host? For one to three rentals, Hospitable is the lower-cost start: its Essentials plan is free and covers messages, calendars and turnovers. OwnerRez costs $40 a month for the first property but connects PriceLabs by API on its single plan. If PriceLabs must stay, compare OwnerRez with a paid Hospitable plan.
- Hospitable vs Lodgify: which fits a host with one to three rentals?Hospitable is the simpler start for small hosts because its Essentials plan is free and covers messages, calendars and turnovers across Airbnb, Vrbo and Booking.com. Lodgify adds a direct-booking website, but its plan prices couldn't be confirmed on the official pricing page and Starter adds a 1.9% booking fee.
- OwnerRez vs Lodgify: which is better for a small vacation rental host?OwnerRez has a published, predictable price ($40 a month for one property, $70 for three) and direct API connections to Airbnb, Vrbo and Booking.com. Lodgify bundles a booking website, but its plan prices couldn't be confirmed when checked. Both connect to PriceLabs; compare current quotes before choosing.
Money
- How much does Airbnb take from hosts? Most Airbnb hosts on the single fee pay 15.5%, deducted from the payout. Others typically pay 14% to 16%, and listings in Brazil and Mexico pay 16%. The older split fee, about 3% from the host plus 14.1% to 16.5% from the guest, is being phased out. To keep a target payout, list at target ÷ (1 − fee rate).
- How much should I charge for an Airbnb cleaning fee?Charge at least what one turnover costs you. Add cleaner pay, laundry, supplies and any other per-stay costs. If your platform takes its fee on the cleaning fee too, gross it up: cost divided by one minus the fee rate. A $108 turnover at a 15.5% fee needs a cleaning fee of about $128.
- How much should I charge for an Airbnb pet fee?Base your pet fee on what a pet adds to a turnover: extra cleaning time, laundry, supplies and a wear allowance. If the platform fee applies, divide by one minus the fee rate. In our example, $42 of extra cost at 15.5% needs a $50 fee per stay. Service animals aren't pets, so no pet fee applies.
- How much should I charge per extra guest on Airbnb?Add up what one more guest costs you: laundry and cleaner time once per stay, plus consumables and utilities each night. Spread the per-stay part over your average stay, then divide by one minus the platform fee. In our example, $5.50 a night at 15.5% needs a $7 fee. Airbnb lets you choose after how many guests it starts.
- How much weekly discount should an Airbnb offer?Offer no more weekly discount than one 7-night stay saves you compared with the shorter stays it replaces. Savings come from fewer turnovers and fewer empty gap nights. In our example, with 3-night stays and every night filled, the break-even discount is about 6.8%. With one empty night a week, it rises to about 19.4%.
- Is the cleaning fee income for a short-term rental host?Yes. For bookkeeping, the cleaning fee a guest pays is part of your rental revenue, and what you pay your cleaner is a separate expense. Record the fee once as income and the cleaner's pay once as a cost. Do not net them against each other. For how this is taxed, ask a tax professional.
- Should I allow one-night stays on my Airbnb?One-night stays are worth it when the payout covers the full turnover and still beats leaving the night empty. Each stay carries one turnover, so short stays earn less per night. In our example, one night leaves $75.90 versus $104.17 a night for three nights. They make most sense for gap nights and high-demand dates.
- Should I drop my Airbnb cleaning fee and raise the nightly rate?To replace a cleaning fee with a higher nightly rate, add the fee divided by your average stay length to each night. A $100 fee at a 3-night average becomes about $33.34 a night. The platform fee takes the same share either way. Short stays then pay less than the turnover costs, and long stays pay more.
- What goes into one Airbnb turnover cost, line by line? One turnover costs the sum of cleaner pay, laundry, consumables such as toilet paper, soap and coffee, a small share for linen wear, and any per-stay software or service fees. There is no single market price. Add up your own local rates line by line, then compare the total to the cleaning fee you charge.
- What nightly rate do I need to break even on my Airbnb?Your break-even nightly rate is your monthly costs, minus what cleaning fees bring in after the platform fee, divided by booked nights times one minus the fee rate. With $1,800 fixed costs, 18 booked nights, six stays and a 15.5% fee, the minimum works out to $135.94 a night.
- Which charges hosts less: Airbnb, Vrbo or Booking.com?On a $1,000 booking with a $100 cleaning fee, you keep $968 on Vrbo at its 12% commission and $929.50 on Airbnb at the 15.5% host-only fee. Booking.com doesn't publish a rate. It depends on your country, property type and contract. All three charge on the cleaning fee, and none charge on local taxes such as city tax.
