Do I need property management software for one Airbnb?

Short answer

Usually not. If you host one property on Airbnb only, Airbnb's own calendar, scheduled messages and smart lock options cover most needs at no extra cost. Property management software starts to earn its fee when you list on two or more platforms, want one shared inbox, or need prices and availability to stay in sync quickly.

The basics

For one property listed only on Airbnb, you can usually skip property management software (a PMS). The platform already gives you the basics. The case for a PMS gets stronger when you add a second platform, such as Booking.com or Vrbo, because that is when calendars, prices and messages start to drift apart.

What Airbnb already covers

Booking.com and Vrbo have similar built-in messaging. See our guide to built-in messaging for what each platform offers.

When software starts to make sense

  • You list on two or more platforms. Airbnb's iCal sync (opens in a new tab) updates imported calendars about every 3 hours, and it syncs availability, not prices. A gap of a few hours can allow a double booking on a busy weekend.
  • You want one inbox. Answering guests in three apps is where small mistakes happen.
  • You want a dynamic pricing tool. Some tools connect to Airbnb directly. If you also use a PMS, the pricing tool usually needs to connect through it instead.

What it costs

Prices change, so check the official pages before you sign up. As of October 2026:

SoftwarePlanListed price
HospitableEssentialsFree, with limits
HospitableHost$29/mo for 1 property, +$10/mo for a second (2 properties max)
OwnerRezMonthly billing$40/mo first property, $15 each for properties 2–3

A worked example

Hypothetical numbers. A host has one cabin on Airbnb and Vrbo. A paid plan at $29 a month comes to $348 a year. If that host earns about $150 per night after fees, the software costs a little over two nights of income per year. Whether that is worth it depends on how often a double booking or missed message would cost more. Our guide to annual software cost walks through the math.

Note

Free plans often restrict integrations. Hospitable's Essentials plan, for example, does not allow external pricing tools. Read the plan limits before you connect anything, and see before connecting software.

How to decide

  1. Count your platforms. One platform: start without a PMS.
  2. List the tools you already use, such as a pricing tool or a smart lock.
  3. Check that the PMS plan you are considering supports them.
  4. Compare the yearly cost to the cost of one bad booking.

Frequently asked questions

Is Airbnb's built-in messaging enough for one property?

For most single-listing hosts, yes. Airbnb's scheduled quick replies can send check-in instructions and reminders automatically without any outside software.

Can I use iCal instead of property management software?

You can, but iCal on Airbnb updates imported calendars about every 3 hours and syncs only availability, not prices. That works for low-volume calendars but leaves a window for double bookings.

When should a one-property host get a PMS?

Consider it when you list on two or more platforms, want one shared inbox, or need prices and availability to update together. The yearly cost should be lower than the cost of the problems it prevents.

Is there free property management software?

Some vendors offer free plans with limits. Hospitable's Essentials plan is free but does not allow external pricing tools, so check each plan's restrictions first.
