Welcome message

Message templateFor guestsSend: 1–2 hours after check-in timeBy HostCalmlyUpdated Oct 30, 2026How we write templatesReport an error

Short answer

Send a welcome message an hour or two after check-in time, once guests are likely inside. Keep it short. Say you're glad they arrived, share the Wi-Fi details, explain the best way to reach you and give an urgent contact. It isn't a second set of instructions, because the arrival-day message already covered getting in.

When to send it

Send it an hour or two after check-in time, or shortly after your smart lock shows the guests are in. It's different from the arrival-day message, which goes out the morning of arrival and helps guests get in. This one comes once they've arrived: it says hello and tells them how to reach you. If you also send a first-night check-in that evening, keep this one very short or combine the two.

Tips

  • Send it only after check-in time. A welcome that arrives while guests are still on the road just adds to the thread.
  • Name one main way to reach you and say roughly how quickly you reply. Guests relax when they know what to expect.
  • Give a few examples of what counts as urgent, so guests don't hesitate to call about a leak or a lockout.
  • Don't repeat the entry steps. Guests who are inside don't need them, and a long message buries the Wi-Fi details.
  • Keep it in the platform thread. Airbnb's Pricing and payment transparency (opens in a new tab) policy bars links in messages that take people off the platform, so if you're unsure about your house manual link, paste the key details instead.

Frequently asked questions

What's the difference between a welcome message and an arrival-day message?

The arrival-day message goes out the morning guests arrive and helps them get in. The welcome message goes out after check-in time, once they're inside, and simply says hello and explains how to reach you.

When should I send a welcome message?

An hour or two after check-in time works for most stays. If your lock shows when guests enter, send it shortly after that.

Should I send both a welcome message and a first-night check-in?

You can, if both are short. Many hosts send one or the other. If you send both, use the welcome to say hello and the evening message to ask whether everything is working.
