Mid-stay check-in message

Message templateFor guestsSend: Halfway through stays of 4+ nightsBy HostCalmlyUpdated Oct 30, 2026How we write templatesReport an error

Short answer

For stays of four nights or more, send a mid-stay check-in around the halfway point. Ask whether everything is working, offer fresh supplies if you provide them, remind guests how trash and recycling work and say how to reach you. Keep it brief and make clear that no reply is needed if all is well.

Hi [Guest name], I hope you're enjoying your stay at [Rental name]. Since you're here for a few more days, I wanted to check in. Is everything working as it should? If anything has run low or stopped working, reply here and I'll take care of it. I'm also happy to drop off [fresh towels or extra supplies] at a time that suits you. A quick reminder on trash and recycling: [Trash and recycling] No need to reply if all is well. For anything urgent, contact [Emergency contact]. Enjoy the rest of your stay, [Your name]

When to send it

Send it around the halfway point of stays of four nights or more, ideally late morning or early afternoon. For a week-long stay, day three or four works well. Skip it for shorter stays, where the first-night check-in already does this job. Send it once; guests on a longer stay also value being left alone.

Tips

  • Make it clear that no reply is needed. A check-in should feel like an open door, not a request for attention.
  • Only offer a supply drop-off if you actually provide one, and agree on a time with the guest before anyone comes by. Delete that line if it doesn't apply.
  • Don't use this message to add rules or chores. For reservations booked on or after Nov 20, 2026, Airbnb's Reasonable house rules and requests (opens in a new tab) policy says hosts can't introduce new rules after booking and generally can't ask guests to do tasks a cleaner would usually do, such as taking trash offsite.
  • Keep your trash details simple: which bin is which and where it goes. If your setup expects guests to haul trash away, rethink it.
  • Longer stays are where small problems grow, such as a slow drain or a chirping smoke detector. Asking midway lets you fix them before checkout.

Frequently asked questions

When should I send a mid-stay check-in?

Around the halfway point of stays of four nights or more. For a seven-night stay, day three or four is a good time.

Should I offer mid-stay cleaning?

Only if it's something you offer and can price through the platform. If you do, arrange a time with the guest rather than letting yourself in.

What if the guest doesn't reply?

That usually means all is well. Don't follow up unless you need to arrange a visit.
