First-night check-in message

Short answer

Send a first-night check-in message on the evening of arrival, a few hours after check-in. Ask simply whether everything is working and whether they need anything. Remind them of Wi-Fi and quiet hours if useful, and give an urgent contact. Keep it light, so it feels helpful rather than watchful.

Hi [Guest name], I hope you've settled in at [Rental name]. I wanted to check that everything is working as it should. If anything is missing, not working or just unclear, reply here and I'll take care of it. Small things are easier to fix early in a stay. No need to reply if all is well. A couple of quick notes: - Wi-Fi: [Wi-Fi name] (password: [Wi-Fi password]) - Quiet hours: [Quiet hours] For anything urgent, contact [Emergency contact]. Enjoy your evening, [Your name]

When to send it

Send it two to four hours after check-in time, and before quiet hours begin. By then guests have unpacked and noticed anything that's off, but it's not so late that a fix has to wait until morning. One message is enough; don't follow up if they don't reply.

Tips

  • Ask one open question. "Is everything working?" gets more useful answers than "Is everything perfect?"
  • If a guest reports a problem, reply quickly with a time estimate, even before you have the fix.
  • Mention quiet hours only if they're already in your listing's house rules, and keep the wording the same.
  • Don't mention reviews during the stay. Airbnb's Authentic and trustworthy reviews (opens in a new tab) policy says hosts may not pressure anyone to influence a review, and a mid-stay mention can feel like pressure.

Frequently asked questions

Is a first-night message intrusive?

One short message rarely is, especially when it asks a single question and says no reply is needed. Guests usually appreciate knowing someone is available.

What if the guest doesn't answer?

That usually means things are fine. Don't send a follow-up unless you have a reason, such as a known maintenance issue.

Should I remind guests about quiet hours on the first night?

A brief mention is fine if quiet hours are part of the house rules guests saw before booking. Keep it to the same rules, not new ones.
