Booking confirmation message

Message templateFor guestsSend: Within a few hours of a confirmed bookingBy HostCalmlyUpdated Oct 30, 2026How we write templatesReport an error

Short answer

Send a booking confirmation message within a few hours of the reservation being confirmed. It should thank the guest, confirm check-in and checkout times, restate the guest limit, say when arrival details will come and invite questions in the platform's message thread. Save door codes and Wi-Fi for later.

When to send it

Send it within a few hours of the booking, while the guest is still thinking about the trip. The goal is reassurance: the booking went through, a real person is behind the listing and they know what comes next. Keep the practical details for the check-in message closer to arrival.

Tips

  • Send it in the platform's message thread. Airbnb's Pricing and payment transparency (opens in a new tab) policy says hosts may not ask guests to pay outside Airbnb or include links in messages that take people off the platform.
  • Leave entry codes out of this message. Plans change, and codes are safer sent closer to arrival.
  • Restate the guest limit calmly, as a fact. It heads off questions later without sounding like a warning.
  • If the platform already sends an automatic confirmation, keep yours short and personal so it adds something rather than repeating it.

Frequently asked questions

Do I need to send a confirmation if the platform already sends one?

It isn't required, but a short personal note sets a friendly tone and tells the guest what happens next. Keep it brief so it doesn't repeat the automatic email.

Should I include the door code in the booking confirmation?

No. Send entry details 24 to 48 hours before arrival, when the guest actually needs them and the code is less likely to change.

Can I share my phone number after the booking is confirmed?

Airbnb's [Contacting hosts](https://www.airbnb.com/help/article/147) article says guests and hosts receive each other's phone numbers only after a reservation is confirmed. For routine questions, the platform thread is still the simplest record for both of you.
